Aevyn Systems LLC ("Aevyn," "we," "us") provides enrollment-marketing automation for career and trade schools. We answer and follow up on prospective-student inquiries on our client schools' behalf, by voice and text, and we offer a free Enrollment Leak Audit at aevyn.ai. Aevyn operates at the inquiry / pre-enrollment stage only; we do not administer federal student aid.
This policy covers two different situations, and our role differs in each:
Acting for the school, we process: your name and contact details as you provide them, the content of your messages and calls, the program you asked about, tour bookings and reminders, and your consent and opt-out status. We use this information only to respond on the school's behalf. We do not use prospective-student data for our own marketing, and we never sell it.
Standard server logs (IP address, browser type, pages visited, timestamps), used for security and diagnostics only. We do not run third-party advertising trackers on aevyn.ai.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Consent. We send text messages and place calls only with prior consent — yours, given on our audit form, or a prospective student's, given when they inquire with a client school. Message frequency varies. Message and data rates may apply. Conversations may be handled by automated systems, including AI-assisted responses, with staff able to take over at any time.
Opting out. Reply STOP to any text to stop texts immediately. Reply HELP for help, or email support@aevyn.ai. We honor opt-outs the moment they arrive and keep a record so you are not contacted again.
No sharing of mobile opt-in data. Mobile phone numbers and SMS opt-in consent are not shared with, sold to, or transferred to any third party for marketing or promotional purposes. Text messaging opt-in data is used solely to deliver the messages you consented to.
We share data only with the service providers we need to operate, bound by contract to use it solely for our instructions:

With client schools: conversations we handle for a school are shared with that school — it is their inquiry. Legal requirements: we may disclose data if required by law or court order. Business transfer: if Aevyn is acquired, data transfers under the same protections, and we will notify affected clients.
To run an audit, we send one inquiry to your school through its public channels — the same way a prospective student would — and measure what happens: response time, channel, and follow-up. We do not log into your systems, access your CRM, or contact your existing leads. Your scorecard is shared only with you; we never publish or share a school's results without written permission. Audit figures are estimates, not guarantees of enrollment outcomes.
Data is encrypted in transit and at rest. Access is limited to what service delivery requires. Credentials are stored in a managed secrets system, and client environments are logically separated. No system is perfectly secure; if a breach affects your personal information, we will notify you as required by applicable law.
You may request access to, correction of, or deletion of your personal information at any time by emailing support@aevyn.ai. We respond within 45 days. Most state privacy laws do not apply to a company of our size, but we voluntarily extend access, correction, and deletion rights to all U.S. residents and will make reasonable efforts to honor verified requests. If we hold your data as a school's service provider, we will refer your request to the school and support them in fulfilling it.
Our website and services are directed at school owners and administrators, not children. We do not knowingly collect personal information from children under 13. Where a prospective student who is a minor inquires with a client school, we process that inquiry on the school's behalf and under its direction, and the school remains responsible for its obligations to that student. Pre-enrollment inquiry records are handled with the same care as all student data.
We may update this policy. Material changes will be posted here with a new effective date, and active clients will be notified by email 14 days before they take effect.
